Background of the Personal Information Protection Policy of Hitachi Social Information Services, Ltd.

  As a company that pioneers new information technologies and social innovations and that works with its customers to create IT services that deliver new value to society, Hitachi Social Information Services, Ltd. (hereinafter referred to as "Hitachi Social Information Services" or the "Company") handles various types of information, including technical information belonging to the Company and information provided by its customers. With this in mind, the Company strives to establish and fully enforce an information management system in order to respect the value of the said information.
  As such, in addition to creating rules and establishing a management system to protect the personal information in the Company, the Company will establish a personal information protection policy and disseminate it amongst its managers and employees. Moreover, the Company will take measures to make the personal information protection policy easily accessible to the general public, and strive to protect personal information appropriately and in accordance with this policy.

Personal Information Protection Policy

(1) Establish rules on personal information management and make continual improvements to the management system for protecting such information

  Hitachi Social Information Services will ensure that managers and employees recognize the importance of personal information protection, and will establish personal information management rules to protect personal information, and to ensure the appropriate use of the information and the thorough implementation of the management system. Any such system will be maintained and improved continually.

(2) Collect, use, and provide personal information and prohibit the use of such information for purposes other than the original intent

  In careful consideration of the fact that personal information is given to Hitachi Social Information Services in the course of business activities, the Company will handle such information appropriately by establishing a management system for personal information protection for each type of business, and by following the established rules on collecting, using, and providing personal information. In addition, the Company will not use such information for purposes other than the original intent and will implement appropriate measures to safeguard the information.

(3) Implement and improve security measures

  To ensure the accuracy and security of personal information, in accordance with the rules on information security, Hitachi Social Information Services will strive to prevent the leakage, loss or destruction of personal information by implementing various security measures such as managing access to personal information, restricting the means for transporting personal information outside the Company, and preventing unauthorized access from outside the Company. In addition, if any problems regarding these security measures are found, the Company will identify the cause and take corrective measures.

(4) Follow laws and norms

  Hitachi Social Information Services will follow the Japanese laws, guidelines, and other norms pertaining to the handling of personal information. In addition, the Company will ensure that its rules on personal information management conform to such laws, guidelines, and other norms.

(5) Respect a person’s rights with respect to their personal information

  When a person makes a request to disclose, correct, or delete their own personal information, seeks to prevent the use or provision of such information, or issues a complaint or request for consultation, Hitachi Social Information Services will sincerely respond while respecting the person’s rights with respect to their personal information.

Handling of Personal Information

Hitachi Social Information Services Website

  In principle, users accessing the Hitachi Social Information Services website are not required to reveal personal information such as their name or address.

Collection of Personal Information

  When responding to inquiries and comments that are received or when requested to send catalogs and materials concerning its products, Hitachi Social Information Services may collect customer information such as names, company names (organization names), department names, addresses, telephone numbers, and email addresses (hereinafter collectively referred to as "personal information").
  In addition, the Company may use such personal information to introduce customers to seminars that the Company has planned or participates in, new products and services, and other services specially offered or the like; or to improve its products and services by, for example, analyzing information gathered through surveys. We ask for your understanding and cooperation in such cases. (Please note that comments given to the Company may be used to improve its website).
  Personal information collected at any event(such as a seminar) planned and hosted jointly with other companies may also be shared with the co-hosting companies.
  On the "Recruitment Information" page, the Company will collect personal information through Recruit Co., Ltd. and Mynavi Corporation for the sole purpose of sending recruitment-related materials, notifying applicants and other parties of recruiting schedules, and conducting other recruitment activities.
  In addition, the Company website acquires user logs for system management purposes. The acquired logs will be used to analyze and identify information on the website that is of particular interest to users. The website will not associate the acquired logs with a user’s personal information.

Management of Personal Information

  Hitachi Social Information Services will strictly and appropriately manage the personal information that it receives through its website and will take preventive measures against risks such as the unauthorized access, loss, destruction, leakage, and falsification of such information. The Company will also take corrective measures promptly if such a problem occurs.
  After the completion of recruiting activities, personal information collected via the "Recruitment Information" page will be destroyed or completely deleted by the Company to ensure that the information cannot be reused.
  However, please note that the Company does not guarantee the security of personal information during transmission over communication paths between a person’s (or an applicant’s) computer and its website, because the Company has no authority over the various entities involved in such communication paths.

Purpose of Collection and Usage, and Provision to Third Parties

  1. In relation to its main business activities concerning the provision of information services, Hitachi Social Information Services will collect and use personal information only to achieve each of the following purposes.

   a. To execute a contract concluded between the Company and a customer.
   b. To communicate with a customer for the purposes of business negotiations and meetings.
   c. To deliver after-sales services for products, and to send information concerning events and new products.
   d. To execute business (including system development, operation, and maintenance) entrusted a customer.
   e. To deliver various membership services.
   f. To handle affairs related to stocks.
   g. To respond to various customer inquiries.
   h. To conduct analysis based on surveys to improve products and services.
   i. To carry out clerical work related to various invitations to events promoted by the Company.
   j. To conduct recruiting activities, such as informing applications of their selection and employment, and to send related materials.

  In regards to the above, when the Company requires a person to directly provide their personal information in a written form (including electronic means, e.g., via a website or email), the Company will first clearly state the purpose of collecting and using the person’s information, and obtain their consent.

  2. Hitachi Social Information Services will not provide the personal information to a third party without first obtaining the consent of the person, except in the following cases:

   a. Cases in which the provision of personal information permitted or mandated by law.
   b. Cases in which the provision of personal information is necessary for the protection of the life, body, or property of an individual and in which it is difficult to obtain the consent of the person to which the information belongs.
   c. Cases in which the provision of personal information is specially necessary for improving public hygiene or promoting the welfare of children and in which it is difficult to obtain the consent of the person to which the information belongs.
   d. Cases in which the provision of personal information is necessary for cooperating with a state institution, a local public body, or an individual or entity entrusted by the aforementioned to execute any operations prescribed by laws, and in which obtaining the consent of the person to which the information belongs might impede the execution of such operations.
   e. Cases in which the handling of personal information is entrusted to the Company within the scope necessary for the achievement of the collection and usage purpose.
   f. Cases in which personal information is provided as a result of the takeover of business in a merger or otherwise.

  3. Within the scope necessary to achieve each of the purposes described in Paragraph 1, Hitachi Social Information Services may provide its parent company (Hitachi, Ltd.) and affiliated companies with personal information such as an individual’s name, workplace and home addresses, telephone numbers, fax numbers, email address, etc., or permit the joint use of such information by the parent company (Hitachi, Ltd.) and affiliated companies. If this is the case, when obtaining personal information from the person, the Company will obtain their prior consent by means of a statement to confirm the handling of such information.(On this website, "Handling of Personal Information on the Website" is shown on each inquiry page.) The personal information will be provided in print or via electronic media. In addition, the person may request that the Company stop the provision of their personal information to the parent company(Hitachi, Ltd.) and affiliated companies.

Handling of Specific Personal Information

  1. In relation to its main business activities concerning the provision of information services, when handling specific personal information, Hitachi Social Information Services will comply with the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure (hereinafter referred to as the "My Number Act"), the Act on the Protection of Personal Information, and the Guidelines for Proper Handling of Specific Personal Information (for private entities).

  2. The Company considers its personal information protection policy as the basic policy for the proper handling of specific personal information, and will ensure the proper handling of specific personal information.

  3. The Company considers the performance of administrative procedures related to social security, taxes, and countermeasures against disasters stipulated in each paragraph of Article 9 in the My Number Act to be the scope of use of specific personal information, and will obtain and use specific personal information to the extent necessary to achieve a purpose. The main scope of use of specific personal information handled by the Company is as follows:

   a. Clerical work in which, upon the receipt of specific personal information provided by, for example, company employees, the Company states such information in necessary documents (such as certificates of tax deducted from employment income or retirement income, payroll payment reports, employment insurance notifications, application to enroll in employees’ health insurance/employees’ pension insurance, and legal written records including clerical work related to the individual inhabitant tax) and submits the aforementioned documents to the district director of a tax office, the mayor of a municipality, Japan Pension Service, or other organizations.
   b. Clerical work in which, upon the receipt of specific personal information, the Company states such information in various reports of payment (such as reports concerning the payment of remuneration and fees; payment of dividends, distribution of surplus, and interest on funds; payment of rental charges, such as for real estate; and payment in consideration of the transfer of, for example, real estate) and submits them to the district director of a tax office.
   c. Performance of operations that involve clerical work entrusted to the Company by an administrative organization or other private entity for the handling of specific personal information.

  The Company engages in a wide range of business activities, and its website may also publish notifications and announcements concerning the purpose of use of specific personal information in the relevant business.

  4. The Company will not provide specific personal information about a person to any third party, except in cases permitted or mandated by laws and regulations pertaining to specific personal information. The Company will not jointly use such information. However, in any case that falls under the items stipulated in Article 19 (Restrictions on the Provision of Specific Personal Information) of the Act on the Use of Numbers, specific personal information may be provided.

  5. The Company may entrust the handling of specific personal information within the scope of purpose of use permitted or mandated by laws and regulations.

  6. The Company will handle, in accordance with the Company’s "Procedures to Disclose, Correct, and Delete Personal Information," any complaints or requests for the disclosure, correction, addition, deletion, suspension of use, suspension of provision to third parties, or notification of purpose of use concerning specific personal information held by the Company.

Procedures to Disclose, Correct, and Delete Personal Information

  A person or applicant may request the disclosure of their personal information held by the Company. In addition, following the disclosure, the person or applicant may request the correction or deletion of said personal information. If a person no longer needs to receive information and announcements and wants to delete their personal information, they are requested to contact by email the applicable department on the relevant page.
  If a person who previously requested catalogs or explanatory materials of Company products changes their personal information, they are requested to send an email with their name, address and telephone number to the department responsible for the products concerned and to indicate that they want to either "update their personal information" or "delete their personal information." The email address of the point of contact is shown at the lower part of each product page. If a person wants to update their personal information, they are requested to include the content of the information to be updated. In addition, the Company may ask to confirm the person’s identity in this procedure.
